Job Description

Principle Objective:

The Associate, Creative Operations will help manage Le Labo’s global creative requests and project management from end to end, communicating with cross functional teams to track and monitor the steps in the creative process, ensuring adherence to project defined guidelines, including timetables. The creative requests include, but are not limited to digital & print media, video placements, and social media requests. This candidate should be highly organized, have outstanding communication skills and be a self-starter that can hit the ground running.

What you’ll do:

Creative Requests

  • Become familiar with the Wrike platform as this is where all creative requests are submitted, received, processed, tracked, and finalized.
  • Review all incoming creative requests to ensure the details are clear and reference documents are included for the designers.
  • Assign due dates, tasks, and corresponding team members to all incoming Wrike requests.
  • Review and share final assets with the requestors. Add all documents and final files to either the DAM or the server for easy future referencing.

Project Management

  • Manage the workflow and timelines for creative projects with a focus on ensuring priorities and deadlines are met.
  • Attend and recap weekly/monthly status meetings with cross functional teams to assure the coordination of all incoming requests. Review and update projects in Wrike accordingly.
  • Create and provide daily/weekly hot list to the designers prioritizing workload for upcoming day/week.
  • Manage the cadence of refreshing our brand bank of images for the Global Marketing team to ensure our visual assets remain relevant as new doors open, and markets mature.
  • Create and oversee final delivery checklist (in close partnership with our Associate Producer) for the various final assets each team needs.
  • Assist the Executive Director with departmental invoicing, purchase orders and budget tracking.

Archiving

  • Assist in building out the server (in close partnership with our DAM manager) for working files and manage  migration of existing files from Sharepoint to the server.
  • Add all new images to the DAM via the request form in Wrike and ensure our partners have access to those images
  • Work closely with DAM manager and senior creative on receiving approval for all lifestyle images that need to be added to the DAM.

Qualifications

Who you are:

  • Minimum 2-3 years of work experience
  • Natural and strong communicator
  • Strong attention to detail and stellar time management and organizational skills
  • Understand how to prioritize projects according to the brand needs and timelines
  • Has the natural passion to work in a creative environment with the emotional intelligence and sensitivity to work with creative personalities
  • Has the ability to adapt to the speed of Le Labo production and development and can manage to keep projects in order within a fast-paced environment.
  • Willingness to learn the various platforms (Wrike, Trello, Adobe DAM, etc) and their capabilities
  • Can understand the Le Labo language and brand ethos, as mentioned in the above description of the brand.
  • Embodies the values and principles of the Le Labo manifesto, by fostering an internal culture of belonging, empathy and kindness.
