Job Description

The Coordinator, Creative Studio Operations will support the team by assisting with Tiffany Procure-to-Pay purchase order and invoice processes. This individual will track and reconcile expenses for all groups. The coordinator will work with group VP’s and Directors to process their expense reports, and will serve as the primary contact for Supplier enquiries and purchase orders.

Responsibilities-

Financial Administration

  • Input 3303 Bu spending in ‘CVM report’ with project notes for ongoing spend analyses
  • Provide actual spending at R1 (March) and R2 (Sept).
  • Generate reports from finance systems (Coupa, Business Objects) to reconcile the CVM report with the GL, make sure that the correct accounts are being charged and the suppliers are paid
  • Track consultants spending
  • Track artwork spending
  • Support Finance and other departments enquiries
  • Create and maintain CVM Capital Request DocuSign forms including unplanned requests and amendments.

Teams Administration

  • Submit VP and director expense reports
  • Submit monthly office supplies order, collating information from the department
  • Produce POS for non-production departmental orders such as R&D, consulting and artwork

Suppliers Administration

  • Primary contact for supplier’s payment enquiries such as payment requests and reconciling supplier statements, liaising with corporate and global teams as needed.
  • Initiate Coupa Sim process for new suppliers and pursue onboarding until completed
  • Maintain Creative Studio’s Supplier database
  • Utilize non-Po backed Coupa invoice processing as needed

Required Qualifications-

  • Bachelor’s degree or equivalent work experience in Business Administration or other related field
  • 3-5 year’s work experience
  • Ms Office with intermediate to advanced Excel skills
  • Ability to provide analytical assessments of data
  • Excellent organizational, presentation and communication skills
  • Exceptional attention to detail
  • Experience analyzing contracts
  • Proactive and flexible outlook
  • Experience with cross-functional teams and presenting information.
  • Ability to work with a wide variety of people and cultures

Preferred Qualifications-

  • Knowledge of JD Edwards, SAP, Coupa, Unifier and report writing software (Business Objects, DAS, etc.)
  • Luxury retail experience.
  • Comfortable in and appreciative of a luxury retail setting.
  • Basic knowledge of jewelry, leather goods and gifts.
  • Sourcing experience.
