The Accounts Receivable/Credit Supervisor reports to the Controller and is responsible for managing the accounts receivable and credit function within the organization’s established policies.
Responsibilities include:
- Establish and review credit limits for both new and existing accounts by analyzing customer annual financial reports, quarterly and regulatory filings (as available), debt service rating and other reporting tools.
- Ensure sound decisions are made regarding the releasing/holding of customer orders based upon credit limit review and financial condition of the account.
- Establish and develop collection agency relationships and processes, while monitoring agencies for performance and cost-effectiveness.
- Ensure the receivables portfolio is maintained within satisfactory company and industry standards (Dso invoices = 50 days, Dso chargebacks = 30 days)
- Perform cash application of payments. Prepare bank deposits and ensure cash application into the Piteco & Oracle systems. Research chargebacks to resolution and prepare documentation for approval of credit notes when valid.
- On-going communication (by email and phone) with customers to facilitate collection of balances
- Ensure credit terms are adhered to work with customers to resolve all financial issues. Set payment schedules in accordance with company policy.
- Reconcile customer accounts.
- Create and maintain up to date and complete customer files.
- Meet with Sales Team and Controller on a monthly basis to review the Aging report.
- Respond to retail credit card chargeback inquiries within specified timeframes and coordinate with store level personnel to resolve chargebacks.
- Continuously seek ways to drive efficiency within the department.
- All other Ad Hoc functions.
Reporting:
- Weekly Wholesale Cash Inflow Flash/Projection Report
- Weekly Credit Hold Report
- Monthly Closing – Accounts Receivable Aging Report – with calculation & initial proposal of Bad Debt Reserve (including reserve for chargebacks) and recommendation of monthly accrual; Ar Risk Analysis; Statements to Customers
- Yearly: A/R Confirmations
- Ad Hoc Reporting
Experience & Key Competencies:
- Degree in accounting or finance
- Background in Accounts Receivable or Credit & Collections
- Industry knowledge of Kpi’s in both the areas of Accounts Receivable and Collection
- Experience with major department stores
- Experience with Credit Monitoring Agencies
- Experience working with Collection Agencies
- Knowledge of general accounting procedures
- Excellent attention to detail & accuracy
- Excellent interpersonal and communication skills (verbal and written)
- Excellent organizational, problem solving and decision-making skills
- Proficient in computer applications
- Excellent negotiation skills
- Ability to multi-task and prioritize
