The Inventory Associate plays an important role acting as the key liaison between Merchandising and Inventory departments to manage quality control of product receipts, vendor communications, and inventory integrity. The Inventory Associate is responsible for processing, managing and balancing the company’s inventory across all Hamilton Locations. This role is also responsible for organizing and reconciling physical inventories, receiving packages and merchandise into the store’s inventory, ticketing merchandise, and generating packaging and shipping transfers. This position may be required to work weekends, some holidays, and peak sales periods.

Responsibilities

• Process the flow of merchandise through Hamilton’s proprietary back-end inventory system.
• Prioritize merchandise flow depending on urgency and need.
• Examine and approve all purchase orders and invoices for accuracy.
• Follow Hamilton’s Quality Control Standards Checklist for all incoming items.
• Receive and ticket merchandise, enter description and other characteristics into the inventory system.
• Photograph each piece for identification.
• Process items that are being returned to vendors, sent to shops, or shipped to other locations.
• Liaison between merchandising department, vendors, and accounts payable.
• Maintain proper records for consignment inventory, report sold goods to vendors and reconcile vendor invoices for sold inventory.
• Assist in regular audited physical inventory counts, research & adjust all physical-to-actual variances and document and report all findings.
• Assist with weekly reconciliation of high value inventory reporting, and in-transit reporting.
• Create and manage schedule for periodic cycle counts.
• Assist with choosing suppliers and sourcing product for creation and production of Hamilton branded collections, engagement rings, and wedding bands.
• Partake in analysis of stock needs, allocation and replenishment of programs set by Executive Vice President of Branding & Merchandising.
• Partake in analysis of production efficiencies.
• Track and analyze all sales trade-ins, identify and procure all necessary servicing to prepare trade-in merchandise for resale and create new Sku#s with proper cost/price.

Education & Experience

• High school diploma or equivalent (Ged) and at least 1 year of relevant experience in retail inventory or merchandising departments.
• Experience in the jewelry industry.
• Education from the Gemological Institute of America (Gia) or other related degrees (e.g. Ags).
• Experience working in inventory offices for multi-store or multi-location retail companies.
