Job Description

Summary

We are seeking a high potential, ambitious, and motivated Manager/Supervisor of Payroll and HRIS to run Personnel Administration and Payroll for OTB’s COE, servicing our brands Diesel, Maison Margiela, Marni, and Jil Sander. The scope of the position currently covers 5 legal entities in the USA and 1 in Canada, offering concrete growth opportunities.

Responsibilities

  • Manage and lead the execution and compliance for Payroll & Administration for the North America region (US & Canada) for the OTB portfolio of brands.
  • Ensure federal, state, and local mandatory reporting.
  • Accurate data collection and analysis, as well as maintaining accurate employee records.
  • Advise employees on state and federal wage and hours regulations.
  • Ensure legal compliance requirements with jurisdictional payroll, benefits, and wage and hour compliance.
  • Ensure legal compliance in remittance and reconciliation of tax liabilities and other withholding, collection of time and attendance data, payroll service provider tax filings and W-2’s, federal state and employment law and regulations.
  • Develop and control all tasks necessary to accomplish the organization’s payroll processing objectives, including relationships with internal and external auditors and state and federal agencies.
  • Ensure incentive payments are accurate, fair, and align with global directives.
  • Identify and recommend updates to payroll processing software, systems, and procedures.
  • Process bi-weekly payroll through ADP Workforce Now for all stores, corporate office, and subsidiaries in the US and Canada.
  • Ensure that all relevant information for the current payroll period has been reviewed and processed in a timely fashion.
  • Enter all new hires, changes and terminations, garnishments/liens, and direct deposits.
  • Review and reconcile all payroll adjustments, commission, inventory/monthly bonuses before beginning the process to ADP.
  • Review all tax information before processing.
  • Process manual checks for terminations when necessary for the states requiring immediate payment.
  • Prepare payroll tax reports (monthly, quarterly, and Year-End) for federal, state, and internal audits as required.

Requirements

  • 5+ years experience in payroll and HR Administration in a multistate retail organization.
  • Bachelors’ Degree, preferred.
  • Knowledge of ADP Workforce Now a plus.
  • Knowledge of retail payroll processing, commissions, FSLA, California DOL, Canada payroll law.
  • Extensive knowledge of the payroll function including preparation, balancing, internal control, payroll taxes, and Federal and state audits.
