The Specialist, Strategic Sourcing and Procurement will be responsible for setting and achieving targets, as well as driving performance in total cost and operational impact. We are looking for someone that will leads the negotiation with suppliers identified along with the Strategic Sourcing Manager, utilizing a strong background in fundamental sourcing skills. Able to negotiate and draft complex contracts under indirect spend defined upfront. Skilled in performing difficult analysis, interpreting results and providing effective recommendations keeping in mind that customer satisfaction is the primary focus followed by Cost saving and added value. In addition, new or re-negotiated supplier arrangements will result in cost reduction, quality and service improvement, and creation of useful management information for the company. The ability to create executive level, concise communication tools will position the successful candidate for success.
Specific responsibilities include (but are not limited to) the following:
Indirect Strategic Sourcing and vendor management (30%)
- Rfp/Rfi/Rfq Process – Contracts & Master Service Agreements (Msa)
- Developing new sourcing strategies, including identification of strategic supplier opportunities for low to medium spend, consortium buying, improvements in quality and/or procurement processes, value optimization, policy changes, substitution or elimination.
- Fair and competitive bid practices, pricing analytics, Tco.
- For each vendor, key contracts from requirements analysis to fulfillment
- Provide financial analysis of acquisitions and agreements including impact on capital and operating results
- All supporting process document creation
- Effective supplier communication & Stakeholder Management
- Deep understanding and demonstration of Procurement life cycle and trade markets
- Building open and cooperative relationships internally to foster clear communication and collaboration across business lines.
- Collaborates with stakeholders to gain buy-in and assurance of strategic directions for the organization or division.
- Developing a network of Strategic Sourcing professionals to enable him/her to become/stay current with the latest sourcing trends and best practices
- Seeking the active involvement of others who will be impacted by the decisions and/or plans of action
- Vendor Management
- Collection, organization and cataloguing of Vendor Contracts
- Oversight and communication of renewals schedule
- Ongoing database and information management as it relates to contracts terms and conditions
- Contract Analysis and Renewal
- Procurement Planning – Tender plans, timing, risk, trade market research
- Operational Metrics: Development of Vendor Scorecards and Sla assurance
Identify Process improvement opportunities and manage change by (30%)
- Utilizing business knowledge to identify opportunities for process improvements that improve quality of service and/or productivity levels
- Using his/her influence skills to overcome obstacles to implementing new processes/suppliers Success will be measured by his/her contribution to results, including savings record, service and/or quality improvement, procurement process re-engineering benefits, creating useful management information and viable supplier partnerships, overall organizational satisfaction with suppliers/arrangements.
- Target and record cost savings
- Educate and train internal stakeholders on the new procurement procedures
Procurement Fulfillment – Key Responsibilities (40%)
- Work with the Store Operational teams to ensure contract terms, Service Level Agreements and escalations are understood throughout the sourcing/contracting phase and communicate their ownership of the contract upon execution.
- Acts as a point of contact and subject matter expert for the business for Indirect purchase requisitions and purchase orders.
- Issues purchase requisitions within authorized limits and schedules deliveries.
- Prioritize high volume of inquiries from the business (purchase request, purchase orders, cancelling and time sensitive orders, documents requirement and validation before approving the purchase order).
- Work closely with business partners to understand their needs, keep them informed at all times, provide strategic advice on purchase and educate then on all procurement process.
- Maintains, influences, and deepens relationship with stakeholders.
- Records ordering information, issues purchase orders to suppliers, in compliance with Procurement procedures to obtain purchase order numbers.
- Follows up on orders and coordinates the management of purchase orders
The ideal candidate is:
- 5 to 7 years in similar role and function preferred
- Scmp or Cips designation is an asset
- Previous experience in an analytical role and/or sales experience
- Direct experience in conducting/leading negotiations
- Solid understanding of contract terms and structured agreements control and coordinate a variety of activities in a fast-paced environment.
- Highly developed analytical and critical thinking skills
- Experience presenting and selling ideas at multiple levels, internally and externally
- Ability to multi-task and successfully balance multiple tasks and responsibilities
- Advanced Microsoft Office skills (Word/Excel/Powerpoint)
