Job Description

Role Summary:

The Production Coordinator’s focus will be working with Sample Management teams and Studio teams to track, schedule and ensure production times are met. They will oversee the start of production to imagery upload date to ensure proper flow of merchandise.

Responsibilities include (but not limited to):

  • Ensuring products are turned in correctly meeting site standards
  • Managing turn in expectations
  • Ensuring styling notes are accurate
  • Managing item counts are met (min/max)
  • Oversees movement of product within studio
  • Assisting with freelance bookings and invoicing
  • Managing shoot schedule, rectifying any conflicts ahead of shoot
  • Scheduling workload for RTW and Stills teams
  • Managing production reports
  • Tracking and ordering supply levels for studio teams
  • Cross-functional partners at this level include:
  • Sample Management
  • Freelance Talent
  • Studio Managers
  • Studio teams
  • Creative teams (photographers, stylists, image editors)

Responsibilities:

  • Maintains spreadsheets in order to update status of merchandise for multiple parties
  • Organize merchandise to be photographed according to studio standards, accumulating and preparing vital information for both on-set teams and post-production teams
  • Communicate questions/issues between on-set teams and the Sample Management teams, acting as a point of contact in order to quickly solve unforeseen problems and keep studio workflow moving at maximum efficiency. Build strong relationships with teams the studio serves to assure strong, positive working relationships
  • Communicate the requirements for each day’s shoot to on-set teams such as any special details, deadlines, treatments or other instructions clearly in order to minimize errors
  • Attends meetings as necessary as well as other duties as assigned

Professional and Educational Requirements:

  • Bachelor’s Degree in communication or related field.
  • Sense of urgency
  • Problem solving
  • Attention to detail
  • Strong written and oral communication
  • Ability to set priorities and multitask
  • General organization, planning, and coordinating
  • Proficiency in Microsoft Office and the ability to quickly learn internal systems.
  • Possess strong organizational and time management skills
  • Operating experience of Mac OS and PC
