We are working with a growing luxury bridal styling firm based in the NYC-area to hire a new Admin Assistant role to support the team. The role will combine organizational, client communication, and project coordination activities, and will be 95% remote.
Job Description

Looking for a highly organized administrative assistant to support the team in day-to-day operations. They must be great at multitasking and anticipating the needs of our team.

Admin – essential

  • Scheduling Client appointments and maintaining Julie’s and D’s schedules
  • Be on all of Julie’s calls and do client follow up items
  • Maintain Kanban Board of action items for each client
  • Sourcing items and connecting clients to them
  • Gather client testimonials and photos
  • Maintain website updates (mainly Press and testimonials)
  • Manage client purchase and receipt submission to stores
  • Contract and proposal writing for both the styling service and the wedding day service
  • Travel logistics for Julie and D
  • Client timelines – apply dates for each client and add items to Julie’s calendar
  • Packing and shipping of The Sample Size Solution orders

Wedding Day Service

  • Onboarding new stylists and making sure they have what they need
  • Scheduling and coordinating all logistics with planners and stylist for 50+ weddings
  • Travel arrangements for the stylists
  • Invoicing and payment to the team
  • Making sure all supplies are ordered and distributed

Styling Knowledge

  • Source items for clients
  • Assemble look books in google docs
  • Put together presentations like “Best Wedding Shoes of 2021”

Marketing- would be really great to have, but not necessary

  • Weekly newsletter: write content and sourcing images
  • Social media strategy and posting including photo sourcing
