Job Description

Summary

This Coordinator, Facilities supports the Facilities and Maintenance Department by managing parts purchasing, inventory accuracy, and data in systems such as CMMS, Ariba, and SAP. The role provides administrative support including filing, maintaining phone lists, financial summaries, and reporting to ensure efficient facility operations.

Responsibilities

  • Oversee inventory module of the order system for vendor parts and services
  • Expedite, track, and close out purchase orders
  • Conduct quarterly spare parts inventory campus wide
  • Research vendors, obtain pricing, and place orders independently
  • Reconcile and report monthly status for blanket purchase orders
  • Organize and file paperwork and maintain emergency phone lists
  • Provide accurate financial summaries and analytic reports with graphs
  • Manage information in CMMS, Ariba, SAP and related systems
  • Assist with other facilities duties as requested

Requirements

  • Proficient with Microsoft Office and multiple software systems
  • Ability to import and link data into Excel and create reports
  • Strong verbal and written communication skills
  • Detail oriented with strong time management and organizational skills
  • Self motivated and able to work with little supervision
  • Ability to surface issues and follow through to resolution
  • Ability to perform physical tasks including walking, bending, and lifting up to 30lbs
  • Knowledge of facility operations preferred
