Job Description

Summary

The Distribution Services Coordinator manages order flow and communicates order statuses from inception to final delivery, supporting internal teams and boutique clients. This role serves as a liaison between the distribution center and sales divisions to ensure timely, accurate shipments and effective resolution of order issues. The coordinator maintains operational reports and supports vendor compliance to facilitate smooth distribution operations.

Responsibilities

  • Provide order status updates and customer service to internal and external clients via email, Teams, and phone
  • Process incoming order requests, stock orders, and back-order management to meet delivery expectations
  • Recommend item substitutions or add-ons when originals are unavailable
  • Review and correct EDI order confirmations for item, unit, pricing, and quantity discrepancies
  • Issue Return Authorizations and assist with vendor chargeback investigations and reversals
  • Generate and review daily and weekly operational reports (Merchandise On-Hand, Open Pick Tickets, Back Orders, BP Receipts)
  • Coordinate with Dayton distribution center and sales divisions on shipment prioritization and vendor routing guidelines
  • Serve as backup contact for urgent distribution center escalations and support inventory discrepancy reconciliation

Requirements

  • 1-2 years of related experience (including internships) in distribution, logistics, or customer service
  • High school diploma required; BA/BS preferred
  • Strong attention to detail, organizational skills, and the ability to work independently
  • Intermediate to advanced Microsoft Excel skills and strong written and verbal communication
  • Familiarity with WMS, Cegid, EDI, and other distribution software preferred
  • Ability to work a flexible schedule including extended holiday hours
