Summary
Temporary role supporting the marketing and communications team to deliver luxury events and brand experiences from September 2025 to March 2026. The coordinator will oversee execution of boutique activations, dinners, pop ups, exhibitions, and client experiences while liaising with HQ, retail, agencies, and vendors to maintain brand image and quality standards.
Responsibilities
- Support end to end execution of events including boutique activations, dinners, pop ups, exhibitions, and client experiences
- Develop event toolkits, briefing documents, run of show schedules, and coordinate vendors
- Manage logistics such as guest lists, gifting, transportation, floral and décor
- Liaise with internal teams and external partners to ensure brand alignment
- Maintain project timelines, status trackers, budgets, and event recaps
- Track expenses, collect vendor quotes, and assist with PO and invoice processes
- Support continuous improvement of event toolkits, templates, and process documentation
- Conduct research for partnership scouting and competitor benchmarking
- Manage invitations, RSVPs, guest communication, and post event reporting
Requirements
- 1-3 years of experience in luxury marketing, event coordination, or brand experience
- Background in luxury, fashion, watches, art, hospitality, or cultural institutions preferred
- Exceptional organizational, communication, and multitasking skills
- Strong attention to detail and an eye for aesthetics and design
- Proficiency in Microsoft Office with strong Excel and PowerPoint skills
- Willingness to travel across key markets in the Americas for on site execution
- Fluent in English; French or Spanish a plus
- Experience with SAP is a plus
- Ability to lift up to 45 pounds and work minimum four days per week in the NY office
