Responsibilities- Manage day-to-day business activities and functions of assigned executives.
- Coordinate executives' calendars and email communications.
- Plan and coordinate travel activities, adhering to budget and calendar constraints.
- Prepare and distribute monthly T&E reports for team members.
- Compile information and prepare meeting materials.
- Coordinate deliveries with messenger services and mailroom.
- Maintain discretion and confidentiality with sensitive information.
- Provide onboarding training for new team members.
- Plan and coordinate onsite or offsite meetings and events.
- Manage invitations, guest lists, and participant registrations for events.
- Travel to support offsite conferences and events.
- Monitor adherence to annual budgets and reconcile vendor invoices.
- Collaborate with Legal and Procurement teams for vendor onboarding and contract renewals.
- Issue purchase orders and track payment processing.
- Prepare and report monthly budget status and variances.
- Maintain flexibility and adaptability to meet evolving business needs.
Requirements- Bachelor’s Degree required, MBA or Masters preferred.
- 3+ years of administrative support experience required.
- Experience in wines and spirits or luxury consumer goods preferred.
- Expertise in administrative systems like PowerPoint, Outlook, Excel, and Zoom.
- Highly organized with meticulous attention to detail.
- Strong verbal and written communication skills.
- Ability to prioritize responsibilities with little direction.
- Some knowledge of budget management and invoice processing preferred.
