Summary
The Facilities Operations Planner supports the Corporate Facilities team in planning and coordinating preventive and corrective maintenance across multiple sites to maintain a safe, efficient workplace. The role leverages CMMS and operational data to develop multi-month maintenance schedules, scope work, estimate labor and materials, and prepare job plans for technicians and vendors. The Planner partners with Facilities leadership, maintenance technicians, and cross-functional teams to ensure work is executed efficiently and asset reliability is maintained.
Responsibilities
- Plan, schedule, and coordinate preventive and corrective maintenance activities across multiple sites
- Review and prioritize work orders, define scope, and determine level of planning required based on criticality and resources
- Develop and maintain multi-month maintenance schedules and ensure work is balanced across available resources
- Prepare job plans and work packages outlining materials, tools, access requirements, and execution steps for technicians and vendors
- Use CMMS and related systems to manage work orders, maintain asset data, and ensure accurate documentation and closure
- Coordinate vendors and contractors for scheduling, site access, and execution readiness
- Track SLA performance, analyze maintenance data to identify trends, and support continuous improvement
- Support Facilities PMO and program teams through site walks, scope validation, and purchase order support
Requirements
- 5+ years of experience in facilities, maintenance planning, or operations in a multi-site environment
- Strong experience using Computerized Maintenance Management Systems (CMMS) and managing work order workflows
- Proven ability to plan, schedule, and coordinate maintenance activities with a data-driven approach
- Experience estimating labor, materials, and resource requirements for maintenance work
- Experience working with vendors, contractors, and cross-functional teams and strong communication skills
- Proficiency in Microsoft Office and maintenance-related systems such as ServiceNow, Prism, or Coupa
- Preferred: knowledge of building systems (mechanical, electrical, plumbing, controls) and reliability-centered maintenance experience
