Job Description

Summary

The Gemstones Coordinator manages the day-to-day workflow of gemstone samples, high jewelry stones and repairs, ensuring accurate tracking, documentation, and inventory control across physical and digital systems. This role maintains data integrity within PLM, supports sourcing and development timelines, and partners with High Jewelry and Mainline Design teams to enable timely execution of gemstone initiatives. The coordinator also creates and tracks POs, SKUs, and certifications to support product development.

Responsibilities

  • Manage and log incoming and outgoing gemstone samples across the product lifecycle
  • Maintain accurate records of sample location, status, ownership, and digital certifications in PLM
  • Coordinate distribution of samples to internal teams and external vendors; track orders and monitor ETAs
  • Support inventory control of loose stones and sample libraries; conduct audits and reconcile discrepancies
  • Create and manage Purchase Orders, Sales Orders, and individual gemstone SKUs
  • Ensure proper storage, labeling, handling, and certification linkage for gemstones
  • Collaborate cross-functionally with High Jewelry and Mainline Design to support launches and special projects

Requirements

  • Minimum of two years of hands-on experience in a similar position and with inventory control
  • Knowledge of jewelry construction, gemstones, diamonds, silver and gold required
  • College degree required; GIA certification or related experience preferred
  • Proficient in Microsoft Office (Word, Excel, Outlook); experience with PLM and Monday.com a plus
  • Strong attention to detail, communication skills, and ability to work independently and in teams
  • Experience using a microscope for jewelry inspection is a plus
