Job Description

Summary

Recruiting Coordinator supporting the Head of Talent Acquisition by managing candidate logistics, maintaining the ATS, and ensuring a positive candidate experience throughout the hiring process. The role handles interview scheduling, candidate communication, and many administrative recruiting functions for associate-level roles and select management hires. Strong organization, attention to detail, discretion, and proactive communication are essential.

Responsibilities

  • Manage interview scheduling and coordination between candidates, hiring managers, and recruiting leadership, including calendar invites and logistics.
  • Own full lifecycle recruitment for associate-level positions and select management roles based on Head of TA capacity.
  • Serve as primary candidate point of contact to ensure timely communication and a positive experience.
  • Administer Rippling/ATS: review applications, update candidate profiles, move candidates through stages, and maintain accurate statuses.
  • Maintain recruiting trackers and working documents with up-to-date interview notes, feedback, and next steps.
  • Coordinate candidate travel as needed and provide general administrative support to the recruiting team.
  • Proactively follow up with hiring managers on outstanding feedback and flag scheduling or process delays.

Requirements

  • 1–2 years of experience in recruiting coordination, talent acquisition, HR, or a similar role.
  • Experience with an ATS; Rippling experience is a plus.
  • Highly organized, detail-oriented, and able to manage multiple priorities and schedules in a fast-paced environment.
  • Strong written and verbal communication skills and a candidate-focused approach.
  • Proactive follow-up skills and ability to handle confidential information with discretion.
  • Bachelor’s degree preferred.
