  • Develop technical requirements and execution plans for event setup and breakdown.
  • Coordinate required building or landlord approvals for temporary installations and event-related work.
  • Identify potential site constraints and proactively develop solutions prior to event installation.
  • Coordinate access, loading, deliveries, installation schedules and vendor requirements with boutiques, venues and building management.
  • Support budget development by obtaining proposals, reviewing vendor pricing and identifying cost-effective technical solutions.

Event Setup & Production:

  • Provide hands-on support during event setup, production and breakdown.
  • Coordinate and oversee installation of temporary event infrastructure, displays, fixtures, lighting and equipment.
  • Support electrical requirements including temporary power, power distribution and coordination with licensed electrical contractors when required.
  • Coordinate event lighting and other technical equipment in partnership with production vendors.
  • Troubleshoot technical and facility-related issues during setup and live events.
  • Ensure temporary installations are secure, safe and consistent with approved plans.
  • Serve as an onsite Facilities representative during major event installations and productions.
  • Coordinate rapid response to unexpected facility or technical issues that could impact event execution.

Vendor & Contract Coordination:

  • Coordinate electricians, handymen, production vendors, equipment rental companies, movers and other specialty contractors supporting events.
  • Clearly communicate scope, schedule, access requirements and brand expectations to vendors.
  • Review vendor proposals with direct manager and confirm scope alignment prior to work.
  • Monitor vendor performance, quality and adherence to event schedules.
  • Verify completion of work and assist with resolution of deficiencies.
  • Support Facilities Management with purchase orders, invoices, estimates and related cost tracking.
  • Maintain strong relationships with reliable vendors capable of supporting high-profile and time-sensitive projects.

Cross-Functional Collaboration:

  • Act as a key technical liaison between Facilities Management and the Events team, while collaborating closely with Retail Operations, Visual Merchandising, Marketing, Store Planning, IT, Loss Prevention, Logistics and external production partners. Translate creative project concepts into practical technical requirements while helping preserve the design intent and elevated presentation expected within a luxury retail environment.

Requirements:

  • 3-5 years of experience in facilities, event production, engineering coordination, construction, retail operations or a related technical field preferred.
  • Experience supporting luxury retail, fashion, hospitality, experiential marketing or high-end events strongly preferred.
  • Working knowledge of electrical systems, lighting, HVAC and general building infrastructure.
  • Experience coordinating contractors, vendors and technical trades.
  • Ability to read basic floor plans, event layouts and technical drawings.
  • Strong understanding of event setup, production and breakdown processes.
  • Strong organizational and project coordination skills with the ability to manage multiple events simultaneously.
  • Ability to troubleshoot problems quickly in fast-paced, high-pressure environments.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and commitment to presentation and brand standards.
  • Proficiency with Microsoft Office; experience with work-order, project-management or facilities-management systems is a plus.

Physical & Scheduling Requirements:

  • Ability to work flexible hours, including early mornings, evenings, overnight installations and weekends, based on project schedules.
  • Ability to remain onsite during extended event installations when necessary.
  • Must be comfortable working in active construction, installation and production environments.

Compensation

The annual salary range for this position may vary from $70,000 - $80,000, and if applicable, may be eligible for bonuses and other incentive opportunities. The rate of pay offered may vary depending on job-related knowledge, skills, and experience.
