Summary
Provide high-level administrative and strategic support to a Senior Vice President in the Hospitality organization. Serve as a trusted partner managing complex calendars, communications, travel, and expense reporting while coordinating meetings and special events. Maintain confidentiality and drive efficiency across competing priorities to support strategic objectives.
Responsibilities
- Anticipate needs, prepare briefing materials, and distill information into actionable insights to support decision-making.
- Act as a strategic liaison between the executive and internal and external stakeholders to align communication and priorities.
- Manage all meeting logistics including scheduling, virtual and in-person setups, materials preparation, and catering coordination.
- Capture and summarize meeting discussions, decisions, and action items to ensure timely follow-up and execution.
- Organize complex calendars, coordinate travel and itineraries, and own the department expense reporting process.
- Coordinate internal special events and support office and campus initiatives while maintaining discretion and confidentiality.
Requirements
- 5+ years of experience as an Executive Assistant or similar role supporting senior leadership with demonstrated project management skills.
- Excellent organizational, time management, written, and verbal communication skills with strong discretion handling sensitive information.
- Experience preparing presentations and visual collateral; proficiency in Microsoft Office Suite, Google Workspace, and Apple technology.
- Familiarity with travel arrangements, expense management systems (e.g., BREX, Kofax) and Human Capital Management tools.
- Ability to work outside regular business hours as needed and be on-site Monday through Friday at the home office.
