Job Description

Summary

As an Office Services Coordinator at Valentino in New York, you will play a crucial role in enhancing the employee experience and engagement by ensuring a professional and welcoming corporate office environment. You will lead with a client service mindset and a passion for creative solutions, working collaboratively with corporate partners to improve office culture and efficiency.

Responsibilities
  • Lead and manage day-to-day operational activities for the NYC corporate office facilities.
  • Update and maintain building IDs and provide general support for visitors and messengers.
  • Set up and break down conference rooms, ensuring overall cleanliness.
  • Move and build minor office furniture and fixtures as needed.
  • Serve as the primary contact for employee questions regarding office management issues.
  • Troubleshoot office equipment issues and support teams with various office logistics requests.
  • Manage vendor relations and partner with Facilities Manager on security and emergency management topics.
  • Lead monthly budget review meetings and identify opportunities for savings.
  • Manage mailroom operations and ensure accurate documentation for all shipping and receiving.
  • Plan and execute culture and community events to enhance Valentino culture.
  • Coordinate onboarding and off-boarding experiences for new hires and departures.
Requirements
  • 1-2 years of office services or administrative experience preferred.
  • Superb verbal and written communication skills.
  • Proactive, punctual, and reliable with strong organizational skills.
  • Dynamic, highly personable, and culturally sensitive.
  • Passion for identifying and executing culture and lifestyle events.
  • Resourceful and solution-oriented with project management expertise.
  • Proficient in Microsoft Office: Excel, Word, and PowerPoint.
