Job Description

Summary

The Administrative Assistant will provide essential support to the Vice President of Global Store & Brand Experience and the broader team. This role involves managing administrative tasks, coordinating meetings, conferences, and business travel, and supporting departmental operations and special projects to achieve divisional goals.

Responsibilities
  • Provide strategic calendar management and administrative support to the Vice President.
  • Serve as the first-line contact for the VP, handling inquiries professionally and coordinating meetings and conference calls.
  • Coordinate major executive meetings and manage travel arrangements for domestic and international trips.
  • Complete expense reporting and reconciliation using the Expense Visor system.
  • Support with presentations and create detailed Excel and PowerPoint documents for meetings.
  • Submit and follow-up on IT and facilities requests for the team.
  • Ensure functionality of office equipment and manage shipping of materials as needed.
Requirements
  • 4+ years of administrative experience supporting senior-level executives in a fast-paced environment.
  • Strong organizational skills and interest in developing leadership skills.
  • Excellent business writing and verbal communication skills.
  • Experience in executive calendar management and travel coordination.
  • Proficiency in Microsoft Office Applications, especially PowerPoint and Excel.
  • Preferred: Bachelor's degree and experience in a corporate environment, preferably in an architecture firm or creative organization.
