Summary
Provide high-level administrative and office management support to the President and CEO of McQueen Americas, coordinating across internal teams and global headquarters to ensure efficient executive operations. Manage complex calendars, confidential correspondence, travel logistics, expense reporting, and preparation of business materials while serving as a key liaison with stakeholders and vendors. Maintain organized office operations and support cross-functional collaboration to enable strategic priorities.
Responsibilities
- Manage complex calendars and schedule meetings across multiple time zones.
- Organize domestic and international travel including visas, accommodations, and itineraries.
- Prepare presentations, meeting agendas, and business documentation for executive meetings.
- Handle confidential correspondence and sensitive information with discretion.
- Manage monthly expense reports and oversee corporate card reporting.
- Review and approve expense claims and regional travel requests.
- Oversee daily office operations, vendor relationships, and facility management.
- Coordinate office events, team meetings, logistics, and catering.
- Collaborate with PR, CRM, Merchandising, HR, and Finance to support cross functional needs.
Requirements
- 5-10 years of Executive Assistant experience with at least 4 years supporting a President or CEO in a multinational company.
- Minimum 4 years of direct executive support at the highest level.
- 3+ years of office management experience may qualify; strong organizational skills required.
- Advanced Excel proficiency including formulas and pivot tables.
- Proficient with Microsoft Word, Excel, PowerPoint, and web browsers.
- Exceptional written and verbal communication aligned with luxury brand standards.
- Strong interpersonal skills and ability to build trust across all levels.
- High accountability, confidentiality, attention to detail, and compliance.
- Flexible, proactive, and able to multitask in a fast paced environment.
