Summary
Provide high-level administrative and organizational support to the North America executive leadership team, managing calendars, travel, communications, and records to ensure seamless operations and enable leaders to focus on strategic priorities.
Responsibilities
- Manage daily, weekly and monthly executive calendars including appointments and video calls
- Organize and prepare materials and logistics for meetings and offsite events
- Create memos, agendas, presentations and meeting notes as needed
- Coordinate and book travel arrangements including flights, hotels itineraries and visa paperwork
- Track and process corporate card charges and invoices monthly
- Serve as liaison between executives and internal and external stakeholders
- Maintain organizational charts and employee distribution lists for communications
- Support office meeting setup with IT devices room configuration and logistics
- Assist with special projects and ad hoc administrative tasks
Requirements
- Administrative support experience at the executive level preferred
- Advanced proficiency in Zoom MS Teams and Microsoft Office Suite
- Strong written and verbal communication and interpersonal skills
- Ability to exercise independent judgment prioritize multi task and meet deadlines
- High level of discretion integrity and ability to handle confidential information
- Experience with travel planning and calendar management
- Ability to thrive in a fast paced high pressure environment and adapt to changing priorities
- Willingness to travel and work overtime and on weekends with short notice
