Summary
Provide high-level administrative support to the Head of Global Sourcing Operational Excellence and Product Integrity, managing calendars, communications, expense processes, and supporting production operations and special projects. Role requires strong organization, communication, and proficiency with Microsoft Office and enterprise tools, with a hybrid schedule of at least three days on site per week.
Responsibilities
- Manage complex Outlook calendar scheduling, adjustments, confirmations, and daily prep materials.
- Coordinate internal and external meetings and conference calls, including Zoom setup and logistics.
- Prepare written materials such as memos, agendas, and PowerPoint presentations.
- Handle expense reporting submission and tracking for the team using Concur.
- Code and approve invoices in Ariba as required.
- Maintain and update contacts and meeting documents with accurate details.
- Partner with other executive assistants to ensure meetings occur as scheduled.
- Assist on special projects and production operation tasks as needed.
Requirements
- Previous administrative or support experience in a fast-paced environment; design office or studio experience preferred.
- Minimum of three days per week on site.
- Excellent organizational skills, attention to detail, and ability to prioritize and multitask.
- Strong interpersonal, cross-cultural, and cross-functional communication skills.
- Proven problem-solving ability and results driven approach.
- Ability to work under pressure and meet critical deadlines.
- Proficiency with Microsoft Excel, Word, PowerPoint, Outlook, Ariba, Concur, and Workday.
