Summary
The Facilities Coordinator will serve as the central point of contact for boutique teams and external vendors, coordinating maintenance requests, assisting in vendor oversight, and ensuring documentation and communication for facilities matters to support a luxury retail environment and client experience.
Responsibilities
- Serve as primary contact for maintenance requests, tracking prioritizing and resolving issues reported by boutique staff
- Coordinate with external vendors and contractors to schedule and oversee preventive and corrective maintenance
- Collaborate with the Facilities Manager on oversight of HVAC plumbing lighting electrical and spa systems
- Conduct regular walk throughs of sales floor back of house and spa areas to identify maintenance needs
- Support event setup and ensure operational readiness during peak retail periods
- Act as daily liaison with cleaning landscaping and spa service providers and manage vendor relationships
- Track service schedules process vendor invoices and maintain records of work orders inspections warranties and service reports
- Manage preventive maintenance calendar and follow up to minimize disruptions
- Maintain inventory of essential supplies and manage replenishment orders
Requirements
- 2 years of experience in facilities coordination property management or hospitality operations luxury retail experience preferred
- High School Diploma required Associate degree in Facilities Hospitality or Business Administration preferred
- Proficiency in Microsoft Office and familiarity with CMMS systems
- Strong organizational multitasking and attention to detail with excellent coordination and follow up skills
- Strong communication and interpersonal skills to work with boutique staff leadership and external vendors
- Ability to adapt quickly and prioritize in a fast paced client facing retail environment
- Strong administrative and record keeping ability
- Customer service oriented mindset with sensitivity to luxury retail standards
- Basic knowledge of building systems such as HVAC plumbing lighting and electrical is a plus
