Summary
Lead procurement and purchasing for furniture FF&E across gallery developments including retail and hospitality, owning the end-to-end process from design handoff through manufacturing, logistics, installation, and project turnover. Partner with vendors, construction, and cross-functional teams to ensure timely delivery and quality of goods while optimizing cost and workflows. Manage on-order pipelines, vendor setup, purchase orders, and vendor performance to meet critical project milestones.
Responsibilities
- Partner with vendors through product development, quoting, and submittal tracking for approval
- Maintain comprehensive tracking of project documentation including shop drawings and finish samples
- Develop responsibility matrix with Architecture and Construction Lead to ensure project alignment
- Lead on-order pipeline management for fixtures and materials to meet milestones
- Track shipping milestones and coordinate deliveries with installation timelines
- Conduct multi-vendor pricing analyses and competitive bid evaluations
- Oversee new vendor setup, purchase order execution, and timely payouts
- Lead onsite installation coordination with construction team and resolve vendor performance issues
- Maintain procurement boards per project to report FF&E status
Requirements
- 5+ years of relevant procurement or purchasing experience
- Experience in retail and hospitality procurement preferred
- Strong project management and organizational skills with attention to detail
- Ability to work with tight deadlines and dynamic feedback driven environments
- Proven ability to build and maintain cross functional partnerships
- Experience managing vendor relations and competitive sourcing processes
- Willingness to travel and work flexible hours including evenings and weekends
- Capable of moving and lifting items up to 50 lbs following safety guidelines
