Summary
The Distribution Service Coordinator provides exceptional customer service to internal and external clients by managing order statuses from inception to final delivery at the Dayton distribution center. This onsite role liaises between boutiques, vendors and the warehouse, processes orders and returns, and ensures accurate communication and compliance with operational procedures.
Responsibilities
- Process incoming order requests and provide order status updates to clients
- Recommend alternative items or substitutions when requested items are unavailable
- Confirm vendor stock orders and monitor ETAs for timely delivery
- Review back order reports and communicate potential delivery delays
- Negotiate order extensions and coordinate shipping details with the distribution center
- Review and correct client order confirmations using EDI to resolve discrepancies
- Issue Return Authorizations as requested and approved
- Prepare Loans and ITS documents and generate daily department reports
- Summarize vendor routing guideline changes and assist with chargeback investigations
Requirements
- 1-2 years of relevant experience including internships or similar roles
- High School Diploma required; BS or BA preferred but not required
- Excellent attention to detail and strong organizational skills
- Intermediate to advanced Microsoft Excel skills and proficiency with Microsoft Office and TEAMS
- Familiarity with SCALE WMS, Cegid, EDI, HCare and Infocenter is preferred
- Strong written and verbal communication skills
- Ability to work independently and collaborate across departments
- Flexible schedule including extended holiday hours as required
