Summary
Provide high-level administrative support to the President, Americas, managing day-to-day confidential business activities, calendars, travel and special projects to enhance productivity of the North America team. Serve as liaison with Global HQ and internal stakeholders while overseeing office standards and select executive events.
Responsibilities
- Manage sensitive and confidential business activities and correspondence for the President.
- Maintain and prioritize daily and long-term calendar and schedule meetings with Global HQ and senior leadership.
- Arrange complex domestic and international travel and prepare related itineraries and logistics.
- Coordinate and prepare materials for Budget Business Reviews and senior executive meetings.
- Manage budget and expense processes including corporate card reconciliation and T&E compliance.
- Organize logistics for meetings and visits from global HQ including agendas and meeting rooms.
- Create and implement processes for filing and organizational efficiency across the team.
- Oversee office standards, holiday gifting, and brand specific office events.
- Support miscellaneous projects and ensure deadlines and requests are addressed.
Requirements
- Minimum 5 years of Executive Assistant or relevant experience.
- Advanced skills with Microsoft Outlook Word Excel PowerPoint and Concur.
- Highly organized self-starter able to manage multiple priorities.
- Strong verbal and written communication skills.
- Proven ability to handle confidential information with superior judgment and professionalism.
- Team oriented with ability to collaborate with internal administrative staff and senior leaders.
- Experience preparing travel and expense reports and reconciling corporate card expenses.
