Job Description

Summary

Provide high level administrative and operational support to the EVP Communications and VP Press and Influence, managing calendars, travel, expense reporting, vendor onboarding and hospitality programs to support communications initiatives and events.

Responsibilities

  • Manage complex calendars and schedule meetings for EVP and VP of Press and Influence
  • Coordinate travel arrangements and prepare itineraries for executives and team
  • Process T&E expense reports and oversee timely submission
  • Handle invoice processing and vendor onboarding through the MyEasyOrder platform
  • Oversee DocuSign signatures for legal documents and NDAs
  • Manage purchase order processes and department budget tracking for press events and media
  • Create PowerPoint decks for communications strategy and senior management meetings
  • Coordinate hospitality including hotel room blocks group transportation and executive visits
  • Support press and VIP communications including newsletters weekly recaps and event hospitality

Requirements

  • Proven ability to prioritize multi task and solve problems proactively
  • Strong written and verbal professional communication skills
  • High level of attention to detail and strong organizational skills
  • Initiative anticipation forward planning and flexibility
  • Experience managing travel arrangements and expense reporting
  • Familiarity with vendor onboarding invoice and purchase order processes
  • Proficiency with presentation creation and meeting coordination
