Job Description

Summary

Provide high level administrative support to the Chief Financial Officer including calendar management, travel coordination, meeting and event planning, expense reporting and general office tasks. Serve as a primary coordinator for senior level meetings and assist with presentations, contracts and purchase order coordination. This is an in-person role at the corporate headquarters requiring strong organization and discretion.

Responsibilities

  • Manage complex executive calendar and schedule senior meetings with necessary materials prepared
  • Plan and coordinate logistics for conferences and meetings including site selection and vendor coordination
  • Arrange comprehensive domestic and international travel itineraries
  • Create and compile detailed Excel and PowerPoint documents for leadership
  • Coordinate contracts and purchase orders with multiple departments
  • Prepare and process expense reports and reconcile invoices for projects
  • Maintain departmental filing, ordering supplies and general office administration
  • Support special projects as assigned by the CFO and executive team

Requirements

  • Minimum five years of executive assistant experience supporting C-suite, preferably a CFO
  • Excellent verbal and written communication skills and ability to work independently
  • Proficiency in Microsoft Word Excel PowerPoint and Outlook
  • Experience with Coupa ExpenseVisor and Concur or similar expense and procurement systems
  • Strong organizational skills and attention to detail
  • Ability to manage multiple projects prioritize workload and show initiative
  • Enjoys supporting others and collaborating with teams
