Summary
Provide high level administrative support to the Chief Financial Officer including calendar management, travel coordination, meeting and event planning, expense reporting and general office tasks. Serve as a primary coordinator for senior level meetings and assist with presentations, contracts and purchase order coordination. This is an in-person role at the corporate headquarters requiring strong organization and discretion.
Responsibilities
- Manage complex executive calendar and schedule senior meetings with necessary materials prepared
- Plan and coordinate logistics for conferences and meetings including site selection and vendor coordination
- Arrange comprehensive domestic and international travel itineraries
- Create and compile detailed Excel and PowerPoint documents for leadership
- Coordinate contracts and purchase orders with multiple departments
- Prepare and process expense reports and reconcile invoices for projects
- Maintain departmental filing, ordering supplies and general office administration
- Support special projects as assigned by the CFO and executive team
Requirements
- Minimum five years of executive assistant experience supporting C-suite, preferably a CFO
- Excellent verbal and written communication skills and ability to work independently
- Proficiency in Microsoft Word Excel PowerPoint and Outlook
- Experience with Coupa ExpenseVisor and Concur or similar expense and procurement systems
- Strong organizational skills and attention to detail
- Ability to manage multiple projects prioritize workload and show initiative
- Enjoys supporting others and collaborating with teams
