Summary
Provides high-level administrative support to select Vice Presidents within the North America leadership team at corporate headquarters, managing complex calendars, travel, expenses, and meeting logistics while maintaining discretion and alignment with executive operations.
Responsibilities
- Proactively manage complex, high-volume executive calendars and a master leadership calendar
- Arrange comprehensive domestic and international travel and prepare detailed itineraries
- Process timely and accurate expense reports and invoices through internal systems
- Coordinate logistical aspects of meetings, interviews, and executive sessions including rooms, catering, and IT
- Prepare, edit, and compile polished PowerPoint presentations for senior leadership
- Organize and manage confidential files and records for Vice Presidents
- Support ad hoc projects and special initiatives as required
- Manage mail distribution and coordinate shipments with the mailroom
Requirements
- 5+ years of administrative assistant experience supporting high-level or multiple executives
- Advanced Microsoft Office skills with emphasis on Word Excel and PowerPoint
- Ability to handle highly confidential information with discretion
- Strong organizational skills and ability to multitask and prioritize
- Excellent communication skills
- Ability to work independently
- Former retail environment experience preferred
